This is for B2B buyers taking delivery of heavy equipment—whether you're a dealer restocking inventory, a contractor adding fleet capacity, or a fleet manager replacing retired units. It works across categories: Schwing concrete pumps, garbage trucks, Subaru trucks, forklifts. The receiving process doesn't change much by vehicle type; the failure points do.
I'm the quality and brand compliance manager at a construction equipment dealership. I review every unit before it reaches a customer—roughly 200 machines a year. In 2024, I rejected 11% of first deliveries due to spec mismatches, documentation gaps, or visible defects. Every one of those rejections could have been caught at the receiving dock.

Before anything gets unloaded, have these in hand: invoice (with line-item specs), packing list, bill of lading, and any compliance documentation—CE, UL, EPA, or DOT depending on the unit. Anything missing? Stop. You can't verify a machine against a spec sheet you don't have.
Step 2: Match the serial numbers, not just the model name
"Schwing concrete pump" covers a lot of ground—truck-mounted boom pumps, trailer-mounted line pumps, stationary electric units. The model designation on the invoice has to match the plate on the machine, character for character. Same logic for a garbage truck (chassis VIN + body serial), a Subaru truck (engine code + frame number), or a forklift (data plate with lift capacity and mast type).
We had a delivery last spring where the invoice said one boom length and the plate said another. Two inches of difference on paper; six figures of difference in resale value. The vendor's response: "Within tolerance." It wasn't. We sent it back.
Step 3: Walk the machine before you run it
Look first. Corrosion, hydraulic seepage, cracked welds, worn tires, frayed hoses. On a Schwing concrete pump, check the rock valve and S-tube wear specifically—that's where the wear shows first, and replacing them isn't cheap. On a forklift, check the mast chains, fork heels, and hydraulic cylinders for scoring. On a garbage truck, check the packer blade and hydraulic lines.

Step 4: Verify the spec sheet against the physical unit
This is where most buyers get lazy. They see a clean machine and assume the specs are honest. Wrong. Pull the spec sheet and verify, item by item:
- Output capacity (cubic meters per hour for a concrete pump; tons per lift for a forklift; cubic yards for a garbage truck body)
- Reach/boom dimensions if applicable
- Engine make, model, and hours
- Tire size and condition
- Any optional equipment that was supposed to be included
I've seen "Schwing concrete pumps for sale" listings where the pump was listed as a P88 and delivered with a P58 valve assembly. Doesn't matter if you're a dealer or an end user—that's a return.
Step 5: Function-test the critical systems—under load
Idle testing proves almost nothing. Load-test.
For a Schwing concrete pump: run it with water first, then with a test mix at rated pressure. Watch the valve cycle, listen for unusual noise, and verify the remote control works from full distance.
For a forklift (and yes, since you asked—a forklift is a powered industrial truck with a forked platform used to lift and move materials over short distances): put a rated load on the forks, lift to full height, tilt forward and back. Check for drift.
For a garbage truck: cycle the packer and lift arms with a test load. For a Subaru truck: test 4WD engagement, cargo bed tilt, and any PTO-driven accessories.
Step 6: Confirm the accessory kit is complete
Not just the main unit. Missing accessories are a silent margin killer. For a concrete pump delivery, that means: pipe clamps, reducers, elbows, hose lengths, remote, and any spare wear parts per the contract. For a forklift: battery and charger if electric, side-shift if specified, load backrest.
Count pieces. Every time. We once received a pump with the correct number of clamps but the wrong sizes—they'd shipped DN125 for a DN100 system.
Step 7: Check branding and finish standards
If you're selling under a brand name—yours or the manufacturer's—visual standards are non-negotiable. On a Schwing unit, that means the correct decals, the right paint code, no overspray on the plate, no scratches on customer-visible surfaces.
I ran a blind test with our sales team in Q3 2024. Two identical used pumps—same hours, same maintenance records. One had a fresh respray with correct brand decals; the other had mismatched paint and a peeling logo. 78% of the team picked the resprayed unit as "better maintained" without knowing anything else. Step 8: Confirm warranty start date and coverage scope
Warranty starts on delivery date, not manufacture date—verify this in writing. And check what's actually covered. Some warranties exclude wear parts, remote controls, and hydraulic components. Step 9: Document the delivery condition before signing
This is non-negotiable: film a continuous walkaround video, note any damage on the bill of lading ("Scratch on left rear panel, approx 8 inches; photographed"), and get the driver's signature on your copy. If the driver won't sign a marked-up BOL, don't unload.
I still kick myself for not doing this on a Subaru truck delivery two years ago. The bed had a dent we didn't catch until the driver was gone. Cost us $600 in bodywork and we lost the argument with the freight company.
Common mistakes and things to watch for
"Within industry standard" is not a defense. I've heard this from vendors on paint runs, valve tolerances, and weld quality. Your contract spec is the standard, not some vague industry average.
Don't sign the BOL until you've walked the unit. Once you sign clean, you own the damage.
"As soon as possible" means something different to you than to your vendor. I said ASAP on a garbage truck part delivery once; they heard "whenever the next shipment goes out." Two weeks of downtime. Now every order includes a specific date and a penalty clause.
Cheap freight usually costs more. Saved $80 by skipping expedited shipping on a critical fork for a Schwing pump. Ended up spending $400 on a rush reorder when the standard delivery missed the customer's deadline. The customer didn't care about our freight savings—they cared about their schedule.
That's the thing about delivery certainty: in this business, it's worth paying for. A late machine isn't just a late machine—it's a frustrated customer, a missed deadline on a pour, and a conversation you don't want to have. When I'm buying rush, I'm not buying speed. I'm buying the guarantee that it lands when they said it would.
